Executive Assistant to CEO // Miamed

We are looking for a smart and organised Executive Assistant to complement one of our Managing Directors. We love him for his visionary thoughts ranging from tech to medicine, his manifold ideas and quick thinking, his profoundly big heart and unmatched hospitality (he’ll make the best coffee for you and is a true master when it comes to grilling Argentinian steaks!) … but he could certainly use some help with structuring his daily work, prioritising, following up and making decisions. To be successful in this role, you should be proactive, meet deadlines, communicate effectively and help prioritise. YOUR JOB

  • Coordinate and (re)schedule our CEO’s daily calendar according to the business’ priorities and plan time for him to follow up on previous commitments
  • Manage phone calls, emails and help with prioritization
  • Attend meetings, write meeting minutes and hold your manager (and others) accountable for completing their To Dos
  • Prepare and polish presentation slides
  • Plan & prepare appointments and events for them to run efficiently
  • Act as the point of contact between CEO and external parties
  • Respond promptly to managers’ queries
  • Facilitate internal communication (e.g. distribute information and schedule presentations)
  • Opportunity to take ownership / execution of selected topics and entire projects (related to own interest)
  • Make travel arrangements & accompany business trips (if possible and necessary)

YOUR PROFILE

  • Proven work experience as an Executive Assistant, or similar role, e.g. in Project Management
  • Working experience both in a structured, corporate environment as well as dynamic startup environments that operate internationally is a big plus
  • Problem solving and critical thinking ability
  • Experience exercising discretion and confidentiality with sensitive company information
  • Strong communication skills (via phone, email and in-person)
  • Excellent organizational skills with an ability to think proactively and prioritize work
  • Ability to cope with stress, changing priorities and an unstructured working environment (and the drive to change the latter for the better)
  • Strong desire to understand our business and find the best solutions to help the company thrive as a whole
  • Eye for detail, but also the big picture
  • Tenacious personality to get things done
  • Fluent English and German are necessary
  • Willingness to travel is a plus
