HR & Office Manager

As an HR & Office Manager at Goodpatch you are responsible for more than the occasional order of office supplies and staff onboarding. As a valuable part of our Backoffice, you will do magic by running all processes smoothly in the background, allowing the team to do what they do best. You thrive with the huzzle and buzzle of a great variety of tasks and know how to tick the boxes of your to-do lists. You love dealing with problems before they arise, and you don’t wait to be told what to do, but instead jump to the occasion. What you will be doing:

  • You will be the HR administration champ,
  • dealing with monthly payroll in cooperation with our external service provider,
  • preparing contracts, extensions, employer confirmations in cooperation with our legal adviser,
  • managing employee data,
  • providing Visa support
  • dealing with employment related authorities
  • You will be the trusted advisor in all HR matters to our Managing Director, other executives and to the whole team with a good understanding of legal employment regulations
  • As our event master you will be planning and organizing memorable events like our yearly Offsite, Christmas Party or Anniversary Party
  • As the good heart of the workspace you will ensure the smooth running of the office and make sure the team has access to necessary equipment and supplies.
  • You will be responsible for assisting with the administrative needs of the team (Order management, Tool administration, Travel management, etc.).
  • You will be comfortable in liaising as a point of contact for external stakeholders such as suppliers, governmental authorities, etc.
  • You know of the importance of maintaining and protecting confidentiality regarding all aspects of client and company information.
  • You will be responsible for all potential general administrative tasks and other internal projects as required.

What you should bring:

  • You have 2+ years of experience in a similar position – working in HR administration, office management and/or team assistance – preferably in an international or start-up environment.
  • You are a multitasker with close attention to detail and a hands-on mentality.
  • You thrive on a large degree of independence and ownership for your decisions and dedicated tasks.
  • You are a problem solver, handle challenges with confidence and keep your calm in stressful situations.
  • You enjoy improving existing processes and routines and are aware of potential risks that need to be managed.
  • You are familiar with common Office Tools (Excel, Google Sheets, Keynote).
  • Flexibility and adaptability in an international environment is a must, collaborating across teams and levels, both internally and externally, comes naturally to you.
  • You understand the importance of discretion in handling sensitive and confidential information.
  • You have strong verbal and written communication skills and are fluent in English and German, Japanese is a plus.

 Good to have, but not necessary:

  • Experience in running potential recruiting and talent acquisition activities:
  • Practical knowledge in the area of People Operations
