Office Manager

The company includes a total global work force of PhD, PharmD, and MD scientists and regulatory writers, working on key drug development projects for biopharmaceutical companies. With each engagement, we provide the data-driven and regulatory science backbone with regard to a drug’s safety, efficacy, risk/benefit, and comparative effectiveness to increase our client’s probability of regulatory and commercial success.

Core Responsibilities

The Office Manager will support the administrative tasks of our Berlin office. Day-to-day activities and responsibilities can vary, but include the following:

  • Ensuring timely mail distribution, physical and digital
  • Serve as primary point of contact for Certara Berlin local/compliance needs
  • Serve as point of contact to coordinate office configurations in partnership real estate partners & business leaders
  • All administrative tasks related to the proper functioning of the Berlin office
  • Scanning & filing documents
  • Ordering supplies & snacks in line with the budget
  • Preparing meeting space for client visits
  • Overseeing the office logistics of visitors
  • Process travel requests
  • Supplier management
  • Annual review of office related processes
  • Administrate sick leaves for BaseCase (temporary)
  • Administrate ad hoc on & off-boarding tasks (temporary)
  • Ad hoc office related tasks

Skills & Abilities

  • Excellent oral and written comprehension and communication skills in English & German
  • Proficient in Microsoft suite of products and virtual meeting technologies
  • Excellent planning and organization skills
  • Strong attention to detail with high levels of accuracy
  • Ability to manage multiple competing priorities
  • Excellent at (internal and external) stakeholder management
  • Proactively and autonomously manages own workload
  • Administrative writing skills


  • Fluent in English & German (C1 level)
  • Bachelor’s Degree or Kaufmännisches Ausbildung (oder ähnliches)
  • Event planning experience
  • Strong trouble shooting capabilities
  • Proficiency in Microsoft Office (e.g. Outlook, Word, PowerPoint)
  • Strong verbal, written, and multi-tasking communication skills
  • Excellent organization skills and ability to establish and revise priorities
  • Ability to be flexible, adapt, respond to shifting priorities
