Your Role
You’ll be the engine behind a well-run office – both in our physical space in Prenzlauer Berg and remotely. With your strong organizational skills and foresight, you’ll support our team and leadership in a way that’s felt every day. Your impact? Clear structure and seamless operations.
Your responsibilities will include:
- Preliminary bookkeeping:Â Managing receipts and invoices, coordinating with our tax advisor
- Document management:Â Organizing and maintaining contracts, proposals, and more; digitizing paper documents and keeping digital records up to date
- Scheduling:Â Coordinating meetings, team events, and key appointments
- Mail & email handling:Â Prioritizing, forwarding, organizing, and archiving both physical and digital correspondence
- Office operations:Â Ordering supplies, being a go-to contact for the team, coordinating with service providers, drafting quotes
- Workflow setup:Â Helping implement digital business processes
- Executive support:Â General administrative support for management, such as research and creating presentations
What You Bring
- Completed training in business administration or relevant experience in office management or executive assistance
- A structured, proactive work style – you know what needs to be done and stay calm under pressure
- Confidence using MS Office, Google Workspace, and ChatGPT
- Organizational flair, strong communication skills, and a genuine hands-on attitude
- Excellent German; fluent English is a big plus
